Legal Assistant Needed for an established Boutique Business Firm

Great Opportunity! Legal Assistant position at an established boutique firm in Sacramento. Specializing in business law, this position is the "Right Hand" to the attorneys. Looking for a take-charge person who can work with authority and autonomy, but also work well and delegate to others. Needs to be intuitive and think ahead of the attorneys to ensure their needs are met so they can focus on their specialties.

This person is required to interact with existing clients and screen new clients. Client interaction of this type requires kindness, patience, and empathy. Appointment calendaring in this role is critical! Proofreading skills are also very important.

Legal Assistant Duties:

Keep cases organized by setting up and organizing files. Calendaring deadlines, inputting events into the database and case file software along with outlook program; confirming case status with attorney. The candidate will maintain calendars, along with word processing such as typing up detailed agreements and redlining documents with accuracy. Must have strong keyboarding experience and proofreading skills. Will assist with preparation of and editing of litigation pleadings, and be familiar with standard litigation calendaring deadlines. Transactional law secretarial support skills, including familiarity with Secretary of State, USPTO and related filings and calendar maintenance on these filings will be helpful.

In this position, 30% - 50% of the time will be spent on litigation but the ratio between transactional/litigation work changes over time.

Office Management Duties:

This position will be leading the receptionist and delegate duties to the receptionist as well as the part-time clerk. Clerk time is dependent on the volume of work at the time and the Assistant will be responsible for determining when a clerk is needed for the firm. Will supervise office maintenance and ordering of supplies.

Accounts Receivable duties:

There is a bookkeeper. However, this Assistant will be responsible for coordinating timeslips entry and preparation of draft pre-bills in the billing program., as well as preparing fee agreements, tracking, monitoring and leading bill collections and the receipt of advance fee payments and assisting the bookkeeper with the tracking of expenses.

Data trusts


Minimum of 5 years of experience as an Assistant and preference will be given to those with previous Business Law experience. Applicants without experience will not be considered.
